LMS Collaborator vs. Smart Expert: A comparison for those building a learning management system
Just ten years ago, LMS was primarily associated with large businesses. Today, it is a tool adopted by companies with 200 or more employees. The reason for this shift is the need for learning to be documented and results to be measurable.
LMS Collaborator and Smart Expert are two Ukrainian products that meet this need. However, despite their similar feature sets, they represent different approaches to how a corporate learning system should be structured.
We evaluated both platforms based on seven criteria: from learning paths and knowledge bases to communication channels and infrastructure. This is to help you make a choice that best fits your specific situation.
What are these platforms?
LMS Collaborator is a multifunctional platform for onboarding, learning, performance evaluation, and employee development, offering flexible options for integrating third-party services, personalization, and the automation of routine HR tasks.

“The customer base for both platforms consists of real companies with real challenges. But if you take a closer look at the specific challenges they were addressing, a fundamental difference in their starting points becomes apparent when choosing a system. And it starts with the very first question: what exactly are you building – a standalone tool or a system?”
1. Where does corporate learning begin?
Corporate learning can take two forms. The first is a targeted tool for specific tasks, used as needed: launch a course, administer a test, and record the results. The second is a process integrated into the company’s operations, which runs automatically and does not require constant manual involvement from HR.
Smart Expert handles the first task well. Its modular structure lets you start with exactly what you need right now – for example, just onboarding or just a knowledge base. You can add modules gradually, without having to overhaul everything at once. For companies just beginning to systematize their training, this is a convenient and stress-free way to get started.
LMS Collaborator is designed to address the second task. All elements are interconnected from the start: resources, courses, programs, learning paths, workshops, assessments, and communications. For example, Dnipro-M transitioned from a fully offline training model to a digital system for over 2,000 employees using LMS Collaborator, consolidating the entire cycle in one place without the need to collect data from various services.
2. Learning paths: linear and adaptive
Most LMS platforms handle linear learning well: there’s a course, a test, and a result. But real-world learning processes are often a bit more complex.
Smart Expert lets you set up a step-by-step learning path, establish deadlines, and configure automatic reminders. This is more than enough for standard onboarding or product training.

LMS Collaborator features Trajectories Pro – a tool for those who find a linear scenario insufficient. AND and OR logic blocks define transition conditions. The next step opens only when certain conditions are met: either all at once, or at least one of them. The delay block maintains a pause between steps. The stop block halts the trajectory if conditions are violated. If your learning process involves branching, retakes, or conditional transitions, Trajectories Pro handles this task without manual intervention from an administrator.

3. Knowledge base: store or search
The corporate knowledge base on both platforms looks similar at a high level: documents, access permissions, and structure. But the difference becomes apparent when an employee tries to find something while working.
Smart Expert offers a structured cloud-based knowledge base: documents are organized, access is configured, and everything is in one place. For companies that need to organize their files and provide access to them, this is sufficient. There is a limitation: there is no search by document content, only navigation by structure.

LMS Collaborator takes a different approach. First, it offers context-based search through integration with OpenAI – the system finds the right information based on content, even if an employee doesn’t remember the exact name of the document. Of course, LMS Collaborator’s knowledge base also allows searching by title, tags, and keywords. Dmytro Kryshen of Union Group noted: “The ability to search by keywords within the content significantly simplifies the work of the front office.”

4. Internal communications and gamification
Training rarely exists in a vacuum. There are always related tasks involving communication and motivation. How well a platform handles these tasks determines how many additional tools you need to keep on hand.
Smart Expert features a full-fledged gamification module: badges, leaderboards, quests, games, certificates, and a virtual assistant that guides employees through the platform. The system also includes its own corporate currency and a gift shop where employees can exchange points for real prizes.
LMS Collaborator also offers gamification tools: leaderboards, badges, certificates, and a gift shop.
In addition, LMS Collaborator has built a comprehensive ecosystem by implementing internal communication features: a news feed, announcements, a forum, comments, reactions, and a chat with group and personal channels. Announcements with an “I have read and understood” confirmation deserve special mention. For banks, the pharmaceutical industry, and any regulated sector, this is not an optional feature but a mandatory requirement. TASCOMBANK uses this tool as part of its compliance process: the fact that an employee has reviewed a regulatory document must be documented.
5. Analytics and reporting
The data is available on both platforms. The question is how deeply you can dive into it, and what to do next with what you’ve found.
Smart Expert provides reports on course and test results and tracks employee progress by department and individual. You can see who has completed the training, who is falling behind, and what the test results are.

LMS Collaborator provides real-time analytics with detailed tracking of every action: who, when, how long, and with what result. Reports on courses, tests, employees, and departments. Of course, with the ability to export and transfer data to external BI systems via custom integrations.

6. Notifications: email, messaging apps, system
The notification channel isn’t just a technical detail. For some companies, it’s a matter of whether the training will reach employees at all.
Smart Expert sends notifications within the platform and via email. If all employees have a corporate email account and log in regularly, everything is fine, and employees are kept informed.
But the reality for many Ukrainian companies is different. In retail, manufacturing, logistics, or HoReCa, a significant portion of the staff works without a fixed workstation and may not have corporate email. LMS Collaborator solves this problem through Viber bots, Telegram bots, and SMS via TurboSMS. Terytoriia Minimalnykh Tsin engaged merchandisers in training specifically through messaging apps.
7. The age-old question: SaaS vs. On-Premise
Deployment is rarely a top priority when comparing platforms for the first time. But for certain companies – especially those with data security requirements or internal regulatory standards – it can be a deciding factor.
Smart Expert is a cloud-based platform that cannot be deployed on-premises. For most small and medium-sized businesses, this is not an issue.
LMS Collaborator offers a choice between SaaS and on-premises deployment. In addition, for the Enterprise plan, LMS Collaborator provides a dedicated instance, a sandbox for testing changes before deploying them to the production environment, 36 months of log and statistics storage, and SSO via ADFS and Azure AD.
What to choose?
For whom is Smart Expert suitable?
The Smart Expert platform is ideal for small and medium-sized businesses that need to transform disorganized learning into a systematic process. At the same time, for corporations with thousands of employees and highly complex hierarchies, the platform’s current features may not be sufficient.
For whom is LMS Collaborator suitable?
This platform is best suited for medium and large businesses that need an all-in-one tool for onboarding, learning, performance assessment, and staff development. LMS Collaborator also handles a large number of branches and departments with ease and automatically assigns courses based on positions.
